Privacy notice
Last updated: . This page describes how this website handles any data you provide. Civic Karma is at concept stage — there is no operational platform, app or asset register yet, and no production processing of citizen data is currently taking place.
1. Who we are
Civic Karma is a concept proposal owned and operated by James Eley, contactable at hello@civickarma.uk. As of the date above, this is a sole-trader project; a limited company will be incorporated ahead of any pilot, and this notice will be updated to name the data controller accordingly.
2. What this site collects
The website itself collects no analytics, tracking pixels or advertising cookies. We do not use Google Analytics, Facebook Pixel or similar.
The only data leaving your device is what you choose to send through the contact form:
- Your name
- Your organisation (optional)
- Your email address
- Your phone number (optional)
- The topic you'd like to discuss
- Your message
3. How the contact form works
Form submissions are processed by Web3Forms, a third-party form-relay service, and delivered to our inbox. Web3Forms acts as a data processor on our behalf. Their privacy policy is available on their website. We retain submission emails for as long as is reasonably necessary to respond to your enquiry and follow up.
4. Lawful basis
Processing of contact-form data is on the basis of your consent (you choose to submit the form) and our legitimate interest in responding to enquiries about a proposed council partnership.
5. Your rights (UK GDPR)
You have the right to:
- Ask what data we hold on you
- Request correction or deletion of that data
- Withdraw consent and ask that we stop contacting you
- Complain to the Information Commissioner's Office (ICO)

6. Citizen data in the future platform
The Civic Karma platform (the eventual app and council dashboards described elsewhere on this site) is not yet operational. When pilot deployment begins:
- Citizen actions will be stored against pseudonymous IDs; full names and addresses will not be required to participate
- Personal data will be minimised and encrypted at rest
- Data will never be sold to third parties
- A full DPIA will be made available to council Data Protection Officers ahead of any deployment
- Pilot data will be governed by a Data Sharing Agreement with the partner council
7. Changes to this notice
As Civic Karma progresses from concept to pilot, this notice will be updated. The "last updated" date at the top will always reflect the most recent change. For any questions before then, please contact us at hello@civickarma.uk.
